HW Dolphins: Volunteer Roles & Signup Info
All Hanarry West Swim Team families are required to work 4 volunteer shifts this season. If you have questions about these roles, LOTS of information about volunteer roles is on our website.
We are so thankful that Laura Holder is continuing in the role of Volunteer Coordinator and Maggie Hammond as Assistant Volunteer Coordinator this season to coordinate volunteer roles, shifts and answer questions. These are big (and important!) volunteer leadership positions for our team, so as you interact with them -- also say thanks!
Our team also has an amazing team of parent volunteers who have taken on leadership roles this season in specific areas. As you sign up for a role, go ahead and learn the leader’s name in your area – and if you see them at practice, go ahead and introduce yourself. All our volunteer areas have a team mentality, working together to lighten the workload and create a smooth-running meet (we even wear name tags at meets!).
HOW TO SIGN UP FOR SHIFTS
You will log in to your SwimTopia account and sign up for your 4 shifts. The sign-ups will open next Wednesday, May 13 at 8 p.m. Please note that unless you have the paid SwimTopia account, you can’t sign up in the app. You need to log into your Swimtopia account through a web browser. We highly suggest signing up for shifts on a computer instead of a phone.
Log into SwimTopia using the email you used to register, navigate to the Calendar section (on the top right corner). You will see green buttons with “Job Sign Up”. SwimTopia provides step-by-step instructions on how to sign up for volunteer shifts and RSVP your swimmer for meets.
WHEN TO SIGN UP
Wednesday, May 13 at 8 p.m.
Volunteer sign-ups open for all 5 swim meets.
Monday May 18 at 8 p.m.
Deadline to sign up for all 4 of your volunteer shifts. If you have not signed up for all of your family’s volunteer shifts, your swimmers will not be entered in the first meet. Please take this deadline and the team’s request for your time seriously. Our team is run and led by volunteer parents, who ended up working even more hours when these deadlines and instructions aren’t followed.
Sunday at 8 p.m. before each swim meet
Volunteer shifts will be locked for the week and you will not be able to make changes. If you do need to reschedule your shift after the Sunday deadline, you’ll need to 1) Find a person to replace you 2) email the name of that person to [email protected]
WHAT TO SIGN UP FOR

Some home meet roles require pre-approval. If you have skills related to any of the roles below, please email our Volunteer Coordinators before Tuesday, May 12 so they can add you to the list of parents able to sign up for these roles.
GRILLERS: First Shift: 4:15 – 6:45 | Second Shift: 6:30 – 9:00
Two needed per shift for continuous cooking of menu items on Blackstone flat top.
CONCESSIONS SETUP: One Shift: 3:00 – 5:30
Stand setup, inventory, prep, and organization before opening
CONCESSIONS POINT OF SALE: First Shift: 5:00 – 7:15 | Second Shift: 7:15 – close
This role takes orders, handles payments, and enters items into POS.
CONCESSIONS EXPEDITER: First Shift: 5:00 – 7:15 | Second Shift: 7:15 – close
Positioned at the front table, this role receives completed items, assembles full orders, verifies accuracy, and hands food to customers. Serves as the point of contact for any questions so the order line keeps moving
COOKS & BAKERS
Purchase ingredients and cook or bake designated menu items. Bring items to the meet before Concessions opens (4:30PM). Coordinate items with and follow guidelines provided by Concessions Coordinator Scott Shackelford. If you have specific items that are your speciality – please let us know what they are in your email!
Some roles require prior training and certification: Starter, Stroke & Turn Officials and Home Meet Computers. If you have an interested in any of these roles, please email our team managers.
OUR 2026 SWIM MEETS
Thursday, May 28: Host Hanarry Hurricanes
Our neighbors and friends at Hanarry will cross Killian Hill Road to come swim at Hanarry West. The Hurricanes have more than 100 swimmers and a coach who used to swim for Coach Brown at Parkview! You’ll likely see familiar faces from around Lilburn.
Thursday, June 4: Host Evergreen Eels
Our neighbors and friends from Evergreen will head down Cole Road to swim at our pool. We have competed against the Eels the past few years – it’s often a competitive meet with a team of a similar size.
Thursday, June 11: At Snellville Supersonics
The Supersonics swim at Briscoe Park in Snellville. The meet will start a little later than normal: 6:30 p.m. But the pool has more lanes – 6 lanes – and more parking than a neighborhood pool!
Thursday, June 18: Host Eastmont Cove
This meet was the change from our original schedule: we are the HOST team. Eastmont Cove has less than 50 swimmers, so this meet should be over by 9 p.m. Thank you to Ana Wydeven for leading Concessions during this meet – we’ll have simpler food options for this meet.
Thursday, June 25: At Mountain Park Sharks
This meet will be held at the Mountain Park Aquatic Center – a nice big parking lot! Important note for parents – only parents who are volunteering are allowed on the pool deck (so if you have kids that like to be near you during a meet, consider signing up for Bullpen & Staging or Timer positions). Everyone else sits in the stands, which means everyone has a great view of the races! This meet will start later than normal at 7 p.m., but with 10 lanes, it will move along quickly (we are still working out volunteer shift details). This will be a great opportunity for swimmers to experience an indoor meet.
ON THE DAY OF A SWIM MEET
If you are scheduled to volunteer at a swim meet, PLEASE BE ON TIME. As soon as you arrive, find the HW Volunteer Check-in table, sign in and grab a name tag. You’ll receive specific instructions for the day. If you are unfamiliar with the role you will be volunteering in, you will be directed to someone who can help equip you. If an emergency arises the day of the meet and you will be late or unable to make it, please email our Volunteer Coordinator immediately.
RSVP Swimmers for Meets
While you are signing up for volunteer shifts on the calendar, you can go ahead and RSVP your swimmers for all 5 meets if you know their schedule. RSVPs for meets must be done by 11 a.m. the Friday prior to each meet in order for the coaches to include your swimmer in the meet entries. If you do not RSVP by the deadline, coaching staff will assume your swimmer(s) are not available to participate in that meet and they will not be seeded in the meet.

• You can sign up for any role you feel you are a good fit for EXCEPT roles that require training or preapproval (see note above).
