Home Meet Setup Instructions
*At every Thursday practice when there is a home meet that evening, put the “Pool Closes at 3 PM sign on the gate” and the same 2 yard signs in the parking lot and by the driveway entrance.
Begins at 3 p.m. with the goal to have everything ready at 4:30 p.m.
CONCESSIONS
(done first so Concessions can begin its own setup with parent volunteers)
1. Move all concessions tables (all folding tables except the one labeled “starter”) to concessions area
2. Move all black bins labeled “concessions” to the concessions area
GENERAL
1. Blow off pool deck
2. Move baby pool cover over baby pool
3. Move potted plants up on wall on the deep end of the pool. Near entrance, put on the corner of deck immediately at entrance.
4. Move all lounge chairs and chairs on the VISITING team side of the pool deck to outside the gate next to the bike rack. Stack all items neatly.
5. Move all lounge chairs and stacking chairs on the HOME team side of the pool to the grassy area behind the diving board. (Stack them. They will not be used for bullpen.)
6. Move all kids toys, water tables, wagons, etc out of the gate and into the grassy area outside the fence (or in grassy area behind bullpen).
7. Move rectangle plastic tables to the grassy area and stack all umbrellas on top of them.
8. Move picnic tables under the pavilion to the grassy area behind the diving board. Line tables up near the concrete as a way to block off the grassy area from use.
9. Move umbrella stands off pool deck.
10. Move circle tables to designated spots on diagram. Extras can be stored with lounge chairs or other tables.
11. Check bathrooms are stocked with paper products; restock as needed.
12. Check all trash cans are empty with bags.
13. After all items have been removed from shed for meet, move the lifeguard stand to the far end of the pool deck next to the team shed and lane line holder.
14. Hang sponsor banners along fence under pavilion.
15. Hang Hanarry West banner at entrance and bullpen.
STAGING & START
1. Set up white plastic staging chairs behind each block. Two chairs for each lane. Tape pink numbers to the side of each chair (facing staging).
2. Place 5 staging benches next to deep end of the pool (bench #5 should be closest to the blocks). (see diagram)
3. Hang up “Now Staging” sign on post with pole (see photo).
4. Hang Lane # signs. Number 5 needs pole to attach (see photo).
5. Hang American flag.
6. Using blue flags and yellow chains/stanchions, rope off walkway behind staging.
7. Place “Staging” with arrow sign and “Volunteers & swimmers” only sign on wall behind flag (see photo).
STARTER AREA
1. Move large event number stand to corner of pool.
2. Put small table labeled “starter” next to event number stand
3. Use yellow stanchions to rope off starter area; connect to the blue flags.
BULLPEN
1. Move cornhole game up on concrete wall.
2. Set up one white table according to diagram of bullpen for Bullpen volunteers).
3. Use yellow stanchions to designate walkway, parent seating area and bullpen in the area near the diving board (see diagram).
4. Hang Bullpen Signs on fences
TURN END OF POOL
Using blue flags and yellow stanchions, mark off an area at the shallow end of the pool for timers and relay swimmers. Attach end to backstroke flags, then stair handle, then posts.
AROUND THE POOL
1. Place “reserved seating” signs along edge of pool for leadership
2. Place “leave space for a walkway” signs around the pool
4. Place volunteer-related signs around the pool deck in designated areas (timers, judges, ribbons, computer)
5. Hang meet signs in designated areas. (Bullpen, Concessions, Reminders, Check-in)
POOL
1. Place foam covers on corners. Fill white buckets halfway with water and set on top of them.
2. Set up lane lines.
3. Set up backstroke flags
4. Place ladder covers on ladder rails and use velcro straps to keep in place.
5. Secure diving blocks.
