Summer Swim Family Reunion

Drop by or stay awhile!
Eat dinner or pick up your meal to-go! (it’s Spirit Night for our team)
Wear your spiritwear!
Pick up your team shirt and swim cap (please!).
Bring your Goal Sheets (we'll also have blank ones available to fill out at the park).
Bring outgrown spiritwear & swimsuits for our exchange table.
Purchase team hats and visors ($17; we have only 10 of each) and car magnets ($5).

If you see spiritwear items this evening that you’d like to purchase, our Shuma Store has reopened for a short timeframe – it will close next Wednesday, May 6.

VOLUNTEER SHIFT SIGNUPS: Wednesday, May 13
We’ve had several questions this week about volunteer shift signups. Just like the past two years, families will sign up for volunteer shifts through the SwimTopia website. The Calendar will open up with slots at 8PM on Wednesday, May 13. All families are required to work FOUR volunteer shifts this season.

For our families NEW to summer swim team & our families with ONLY a 6U swimmer, our Volunteer Coordinators will connect with you before May 13 to help you sign up for your shifts. Please go ahead and review the meet schedule, meet timeline and volunteer roles on our website so you are ready to talk through options with the Volunteer Coordinators.

More information about the season will be sent next week in our annual Swim Team Orientation Email. In the meantime, feel free to ask questions tonight or send us an email.

VOLUNTEER ROLES: Preapproval
Because of their unique skill set or timeframe, some of the volunteer roles & shifts require preapproval (or coordination) from our Leadership Team. If you are interested in any of the roles below, please email Volunteer Coordinator Laura Holder by May 6: [email protected]

All the roles below are for our home meets, which will occur on: May 28, June 4 & June 18. If you have skills related to any of the roles below, please consider signing up for them! We are fortunate to have so many talented and skilled parents on our team, and it makes a big difference for our season when they use those skills for the Dolphins!

GRILLERS
First Shift: 4:15 – 6:45 | Second Shift: 6:30 – 9:00
Two needed per shift for continuous cooking of menu items on Blackstone flat top.

CONCESSIONS SETUP
One Shift: 3:00 – 5:30
Stand setup, inventory, prep, and organization before opening

CONCESSIONS POINT OF SALE
First Shift: 5:00 – 7:15 |  Second Shift: 7:15 – close
This role takes orders, handles payments, and enters items into POS.

CONCESSIONS EXPEDITER
First Shift: 5:00 – 7:15 | Second Shift: 7:15 – close
Positioned at the front table, this role receives completed items, assembles full orders, verifies accuracy, and hands food to customers. Serves as the point of contact for any questions so the order line keeps moving

COOKS & BAKERS
Purchase ingredients and cook or bake designated menu items. Bring items to the meet before Concessions opens (4:30PM). Coordinate items with and follow guidelines provided by Concessions Coordinator Scott Shackelford. If you have specific items that are your speciality – please let us know what they are in your email!

REMAINING NEED: Concessions Manager on June 18
When we sent out last week’s email, we had three leadership needs. Thank you to Steven Hammond for volunteering to train as a Starter and to Kate Forrest (in her first season with the team!) for volunteering as Assistant Computer Coordinator!

Now, we have only ONE leadership role left to fill this season – we need someone to work with Team Managers to plan and run Concessions for our June 18 meet. If you are pondering whether to volunteer for this role, here are some reasons to say yes:

- Eastmont Cove is about a third of our size. Meet should be over by 9PM.
- The plan for this meet’s concessions is restaurant food (pizza, Chic-fil-a, etc). So there’s no grilling, cooking or baking involved!
- Sign up soon and we’ll order you a one-of-a-kind leadership team t-shirt (or tank!)
- This role will satisfy your family’s volunteer requirements for the season.
- If Team Manager Patricia Heys ends up running concessions on June 18, the menu will likely be: Uncrustables, PopTarts and whatever packaged snacks are in our household’s pantry. :)

The Hanarry West Swim & Tennis Club, a separate non-profit from the swim team, is now accepting members for the 2026 summer season! Join to take advantage of the pool on all the hot summer (and spring and fall) days! Plus, there's pickleball, ATLA tennis, social events year-round, and a pavilion available for rentals.
