HW Dolphins: First Meet Week

Our Monday emails are usually jam-packed with important information. These are the primary way that we communicate with our 80+ families, so we encourage you to read them fully. You’ll receive a second email from Coach Eric Brown later this week with the heat sheet for the meet and any additional information about the meet.

Let’s do this email day-by-day:

MONDAY

SwimTopia App – If you have not downloaded the SwimTopia App (it’s free), please do so today and go ahead and log into your account. Make sure your alerts are set to on, as this is how teams communicate any weather delays or cancellations. SwimTopia provides step-by-step instructions.

Stroke Clinic Sign-up – Each Friday of the season at 9 a.m. the Dolphin coaches offer an optional paid stroke clinic ($10 cash preferred, Venmo as well). These clinics focus on a different stroke or swimming skill each week and are limited to 20 swimmers. Sign-ups are on our website. This week’s clinic focuses on dives and starts and is already close to full. Each clinic will be posted and open for RSVPs on Monday of that week.

TUESDAY

Gate at Practices – In an effort to abide by Gwinnett County rules for pools, we will be keeping the pool gate closed during practices. For Club members, please remember to bring your key fob. For non-Club members, we’ll have a parent volunteer, Britta Froelicher, stationed at the first table who can let in swim team members. Please try to avoid sitting at the first table and reserve it for our designated gatekeeper volunteer.

Parking – Please do not park on the grass area of the parking lot. Please let your teenagers know this as well. We want to be respectful of the Club’s property and this is not a parking area.

Evening Practice – Our first evening practice of the season. These practices (held on Mondays and Tuesdays) are for swimmers who can’t attend the morning practices. The team uses 2 lanes of the pool while the pool is open for Club members. If your swimmer is 6U or is still struggling to swim full laps, please reach out to Coach Brown before attending evening practices.

WEDNESDAY

Swim Team Members – Get some rest! Go to bed early! And go ahead and review the info for the next day’s meet information. For adults, pack folding chairs, water, cash for concessions, sunglasses and hats, etc. For swimmers, pack several towels (one to sit on), water bottles, healthy snacks, plus your team swim cap and goggles. We recommend small waterproof toys, card games or other small activities. The parent seating area tends to be sunny early. The bullpen tends to have some bugs. So we recommended packing sunscreen and bug spray.

Adults – Our adult swim team begins practices: Wednesday mornings from 7-8 a.m. and Monday and Wednesday evenings at 8 p.m. Swimmers of all skills levels are welcomed to attend!

THURSDAY

First Meet – Our first meet of the season is at 6 p.m. Swimmers should plan to arrive by 4:45 p.m. and check in at the table (there will be a big swimmer check in sign) as soon as they arrive. The Dolphins warm-up time is from 5-5:25 p.m. There is a lot of information on our website about what to bring, how to label your swimmer with their name, age and events, a schedule of the events, and more. Families new to summer swim team feel free to ask New Families Coordinator Katie Huffaker any meet-related questions this week!

Volunteers – Thank you to our first meet volunteers! Please arrive early and check in with Volunteer Coordinator Laura Holder and our Volunteer Assistants (look for a big check-in sign). Remember that some roles (set-up, parking, concessions set-up) need to arrive at 3 p.m. Other volunteer roles will have meetings beginning at 5:30 p.m.

Parking – Please park on the designated (pool side of the street). Some Hanarry West neighbors have volunteered their golf carts to help shuttle swimmers and their families. Please tell them a big thank you if you catch a ride! The parking lot is reserved for designated volunteers and coaches and only those with a hangtag will be allowed to enter.

We have only one handicap space in the lot – and it has been designated for a Hanarry West parent. If you have a handicap tag for a family member, you may enter the lot to drop them off and then immediately exit and park on the street. Please be very cautious! Hundreds of kids and adults will be walking through the parking lot to enter the pool deck for this meet.

FRIDAY

Team Photo – We’ll take our 2025 team photo this Friday at 10 a.m. Please arrive at 9:45 a.m. so that we can line swimmers up and take the photo at 10 a.m. Please have your swimmers wear their royal blue team shirts.

Fun Friday – The first Fun Friday of the season is this Friday at 10 a.m! The theme is “Pop Stars”! A big thank you to Stars & Pipes Plumbing for sponsoring this event and for our handy fridge magnets this season! If you haven’t RSVPed, please do so ASAP – adults too!

The Hanarry West Swim & Tennis Club, a separate non-profit from the swim team, is now accepting members for the 2026 summer season! Join to take advantage of the pool on all the hot summer (and spring and fall) days! Plus, there's pickleball, ATLA tennis, social events year-round, and a pavilion available for rentals.
