HW Dolphins: Registration Information

Join the Hanarry West Swim & Tennis Club
If your family loves summer by the pool, now is the time to join the Hanarry West Swim & Tennis Club! Join before March 1 to receive the Club’s early-bird discount. Club members also receive a discount when registering for the swim team.

Did you know that with a Club membership, you can rent the pavilion for parties and social events are held throughout the summer – plus, there are tennis/pickleball courts right across the parking lot! Like our swim team, the Hanarry West Swim & Tennis Club is a non-profit that relies on annual memberships to function and relies on a board of volunteers who give their time and energy into making Hanarry West a great summer community! The Club is currently looking for a Social Chair to join the Board and plan events for the summer season.

Coaching Application
High school students interested in coaching this summer, please fill out the online application by March 12. The team has a maximum number of coaches it can hire each season. Priority is given to coaches with previous experience and those that are lifeguard certified. Please be sure to complete the application as fully as possible so that we have all the information needed to make decisions about our coaching staff this summer.

Registration Information
Registration for the 2025 Swim Team is set to open on March 1 for returning swimmers. We are expecting most of the younger age groups to fill up quickly, so if you know you want to be part of the Dolphins, please don’t delay in registering. Returning members are not guaranteed a spot on the team – only the ability to register first. We cannot add more lanes to the pool!

Dolphin Pups registration will also open at this time and will have limited spots. This year, the tentative time slot for Pups practice is 9-9:30 a.m. starting June 2 for three weeks.

We have posted our tentative practice schedule on the website. The final schedule will be set once registration closes on April 13 and we know how many swimmers are in each age group. The meet schedule has also been posted, but please note we won’t have our specific home-away schedule from the League until late in March.

Schedule:
March 1 - Registration Open to Returning Team Members
March 10 - Registration Open to HW Club Members
March 17 - Registration Open to All
April 13 - Registration Closes (or earlier if capacity is reached)

HW Club Member Registration Fees:
Swimmer Age 5-14: $165
Swimmer Age 15-18: $100
Dolphin Pups: $180

Non-Club Member Registration Fees:
Swimmer Age 5-14: $185
Swimmer Age 15-18: $120
Dolphin Pups: $200

- Each swimmer registration (including Pups) includes a $25 Gwinnett County Swim League fee, which goes directly to the League. This is included in the totals you see above.
- Each family will have a $10 fundraising fee included with registration that goes to support our home meet concession stand.
- As noted above, 2025 HW Club members (that have already paid their 2025 Club Membership) receive a $20 discount per swimmer.
- You will notice a “hold” place on your credit card during registration for 1) Volunteer Penalty and 2) County Meet No-Show Fee. These will only be charged if requirements are not met for the season.
- At the end of registration, you will have the option to purchase a $5 raffle ticket for a parking space during home meets. And, once again we are looking for sponsors for our Fun Fridays!

Volunteer Requirements:
Each family is required to work 4 meet shifts this season and volunteer at one of three pre-season work days at the Club (dates for these will be available soon).

Swim Team Leadership Needs
We are grateful for all our amazing volunteers during the summer swim season (and in the months leading up to it)! For the coming season, we have several positions open on our leadership team that we would like to fill sooner rather than later. If you have any interest in these positions, please reach out to Team Managers Christina van Maanen and Patricia Heys. We have detailed descriptions of responsibilities for each role that we are happy to share with anyone interested in learning more.

Volunteer Coordinator – The Volunteer Coordinator OR two Coordinators working together plans and organizes the volunteers for our five regular season swim meets. Parents will sign up for their swim meets online, and the Volunteer Coordinator will confirm all shifts are filled, send reminders, answer questions and/or provide guidance to families as needed. At meets, the Volunteer Coordinator will check in volunteers, troubleshoot absences, answer questions, and provide training as needed. They work with our Timers Coordinator, Bullpen Coordinator, Officials Coordinator and Concessions Coordinator to make sure those leaders have the volunteers they need.

Concessions (Co-) Coordinator – The Concessions Coordinator will work alongside long-time volunteer Trisha Atkins to plan and run the Concessions Stand for our home meets (likely 3 this year). Concessions Coordinator communicates instructions to volunteers preparing food, shops for food and supplies, setup and breakdown the Concessions Stand area for each home meet, and works with concessions volunteers during the meets. The Coordinator must be available for all home meets.

Concessions Assistant - The new role will handle all drinks related to our home meet Concession Stand, including purchasing drinks, bringing drinks & ice to the meet, setting up the beverages for sales and cleaning up and/or storing drinks after the meet. The Concessions Assistant must be available for all home meets.

New Members Coordinator – This new role will work with Team Managers to orient new families to the swim team, including connecting face-to-face during our pre-season work days and the first week of practice. They’ll reach out electronically to welcome new families, answer questions, walk them through some of the ins and outs of the swim team (like SwimTopia app), and help to make sure they are prepared for the first meet.

Socials Coordinator – This new role would work with Team Managers to plan and lead social activities throughout the season, including a pre-season meal for coaches and the leadership team, senior night, glow swim and end of season awards.

Starter – Our team needs another parent (or two) to train as a Starter this season and work alongside our two veteran starters. Starter training is free and can be done online at your convenience.
